Re: Quarterly Wage Summary and Detailed Management Information Reports

Dear Colleague:

As you know, States began submitting Quarterly Wage information to the National Directory of New Hires (NDNH) on January 1, 1998. In a continuous effort to maintain the quality of child support data and to provide you with feedback, we have prepared three summary tables about your State's Quarterly Wage data. The attached tables provide valuable information regarding the volume of data submitted and the quality of the data received. Please review this information carefully. If you find that there are discrepancies between your records and ours, please contact Christine Jennings at (703) 352-3855 to discuss any issues.

Table 1 provides the following information about your State's Quarterly Wage submissions:

number of records submitted by your State from your most recent quarterly submission;
number of records posted (passed the SSA verification routines) to the Non-Verifiable file;
percent of records that were unverified (did not pass the SSA verification routines); and
rejection rate (percent of records that were not posted to the non-verifiable file because of incomplete data or duplicate batch numbers) as compared to the national average.

Table 2 provides the following information about the number of errors relating to your State's most recent Quarterly Wage submission. The table indicates the number of records for which:

Social Security Number (SSN) and name do not match;
SSN is invalid, out of range, or has not been issued by SSA;
SSN is non-numeric;
SSN is missing or is zeroes;
Employee name is missing*;
Employee first name is missing*; and
Employee last name is missing*.

* These errors apply only to States that send employee names for more than 94% of their records.

Table 3 is a detailed Management Information Report. This shows information on all batches that were submitted and posted to the Non-Verifiable file. The detailed information includes:

Header Date;
Process Date;
Batch Number;
Total Number of Records Submitted;
Number and Percent of Records Posted to Non-Verifiable File;
Number and Percent of Records Rejected with Unverified SSNs;
Number and Percent of Records Rejected for Other Reasons; and
Number and Percent of all Rejected Records.

Both the effort and cooperation of the States in the submittal of quarterly wage data is greatly appreciated as we strive towards our goal of improving the lives of our nation's children.
