RECONCILIATION FILE
REQUEST PROCEDURES

During the PY2001 Certification Process, a job will be run on a weekly basis to produce Reconciliation Files for the States. This job will be run on Fridays, after OCSE processes FMS Reject Files. States may submit a written request, via fax (202-401-5553) or email (scollections@acf.hhs.gov) to request that a Reconciliation File be produced. Reconciliation Files will be distributed to the States on Cartridge. After the close of the PY2001 Certification Process, permanent procedures will be put in place to handle Reconciliation File requests.

States must submit their request by 4:00 p.m. Thursday, EST in order to be included in the following Friday’s Reconciliation extract. Reconciliation extract files can not be run on Friday October 6 due to a planned shutdown of the computer center. The body of the written request must contain the following information:

State name
Requestor’s name
Requestor phone number
Extract Date (see table below)
Type of cartridge (3480 or 3490)
Delivery name & address for cartridge.

States may use the following schedule to determine when they would like to request a reconciliation file:
