Managing Grant Administration Activities

Along with data collection and reporting, grant recipients may complete additional post-award activities during the life of their grant. This module provides an overview of these activities. Change in Key Personnel Request

Key personnel are considered the Authorizing Official (AO), and the Program Director (PD)/Principal Investigator (PI), often referred to as the Project Contact. The process for submitting a Change of Key Personnel request is different for these two roles.

The Change in Key Personnel Request explains how grant recipients can submit a change in key personnel request when there is a change in key personnel at your organization.

Note: If there are changes in staff at your organization other than the AO and PD/PI, a formal Change of Key Personnel change is not required.


No-Cost Extension

Need more time to complete your grant activities? A no-cost extension (NCE) allows a grant recipient to extend the project period end date by up to 12-months for the sole purpose of completing grant activities without additional funding or spending additional grant funds. An NCE request must be submitted in GrantSolutions at least 45-calendar days prior to the end of the project period.

Change of Scope

A change of scope request must be submitted if a grant recipient decides to take the project in a different direction than what was proposed in the application. Examples changes that require a change of scope include: geographic scope change and change in project partner.

Budget Modification

A budget modification request, the most common type of grant amendment, occurs when a grant recipient, after consulting their OCS Program Specialist and OGM Grants Management Specialist, determine they need to make changes to the project budget.

Reporting Requirements

The Performance Project Report (PPR) (PDF) is to be submitted by grant recipients through GrantSolutions. Grant support staff and specialists, program directors, and certifying officials can all work on completing the PPR, but only the Authorizing Official for your program can submit the final PPR in Grant Solutions. If you have any questions about how to complete your PPR, please reach out to your assigned program specialist.
